The problem

“Right now we’re looking for a program to manage our roughly 200 maintenance customers.”

A real quote from an SHK trade forum — the problem is as old as the Excel list. And it grows with every new maintenance contract.

Scattered across Excel & calendar

The maintenance records live in lists, calendar reminders and folders. Nobody reliably sees what is due next.

A maintenance forgotten

The calendar never reminds you on its own. The first to notice the missed maintenance is the annoyed customer.

An inspection deadline missed

Lifts, fire protection, smoke detectors: legal deadlines are a liability risk — not just a missed to-do.

The solution

A system that flags every deadline on its own.

Due dates, automatic

Every deadline in view before it turns critical

From the maintenance interval and the last maintenance, Gewerkly computes the next due date — and rolls it forward automatically as soon as you document a maintenance. Inside the lead-time window, ‘open’ becomes ‘due’, then ‘overdue’.

  • Automatic due date per asset and inspection deadline
  • Reminder with lead time (30 days by default)
  • Dashboard and calendar show due & overdue

Everything on the customer

Customer, assets, contracts and history in one place

Every asset hangs on its customer, every contract on its assets. The continuous maintenance history per asset is exactly the module the broad trade suites do not keep.

  • Customers with any number of assets and contacts
  • Maintenance contracts with interval, term and notice period
  • Gap-free history per asset — years back

Legal deadlines

Inspection deadlines no calendar keeps in its head

Beyond the maintenance interval, each asset carries its legal inspection deadlines — as separate, tracked appointments. So no lift main inspection and no fire-protection date slips again.

  • Inspection deadline with its own interval and lead time
  • Record the result, attach the certificate
  • ‘Failed’ schedules a short-notice re-inspection
Lift main inspection yearly
Fire extinguishers every 2 years
Smoke detectors yearly
Drinking water / legionella per regulation

Switch & site work

From the Excel list to the phone at the asset

Import your portfolio as CSV and document the next maintenance right on site — in the browser, on a phone too. Labels with a QR code take you straight to the asset when scanned.

  • Excel/CSV import instead of retyping
  • Document maintenance on mobile — no app needed
  • Asset label with QR code for the site

How it works

Out of Excel in three steps.

  1. 01

    Add or import your portfolio

Import customers and assets by CSV or enter them by hand — with the last maintenance, so the due date is right straight away.

  2. 02

    Set intervals & inspection deadlines

Per asset, record the maintenance interval and the legal inspection deadlines. Gewerkly computes the next due date.

  3. 03

    Get reminded in time

Before every deadline Gewerkly speaks up. You document the maintenance, and the next due date rolls forward automatically.

For your trade

Built for maintenance, not bolted on.

In the broad trade suites, maintenance is at best an add-on next to quoting and invoicing. Gewerkly does the one thing — and does it fully.

Questions

What shops ask before they start.

Who is Gewerkly for?

For small SHK, heating and building-services trades (2–20 employees) that look after many recurring maintenance contracts — heating systems, heat pumps, ventilation, plus inspection deadlines such as lifts, fire protection or smoke detectors.

Can I bring over my Excel list?

Yes. You export your customers and assets as CSV and import them in one pass — with the last-maintenance date per asset, so the first due date is right. No retyping.

Do I have to pay per employee?

No. The price depends on the number of your maintenance customers, not on headcount — your whole team is included in every plan.

Does it work on site, on a phone?

Yes, in the browser — on a phone too. You document the maintenance on site with checklist, readings and signature. There is no native app to install.

Does Gewerkly also invoice my maintenance?

No, honestly: Gewerkly manages contracts, assets, deadlines and reports — it does not write invoices or quotes. That stays with your existing system.

What happens after the 14 days?

Nothing is charged automatically — you add no credit card to try it. You decide afterwards whether to continue; cancel monthly, and you can export your data at any time.

How does it help against missed inspection deadlines?

Beyond its maintenance interval, each asset can carry its own legal inspection deadlines (e.g. the annual lift inspection, fire protection). Gewerkly tracks them as separate appointments and reminds you in time — kept apart from the maintenance contract.

Where is my data stored?

On servers in the EU and Switzerland, transmitted encrypted. We work under GDPR and the Swiss FADP, and we provide a data-processing agreement.

No missed deadline again.
